Our client, a well-established trading company, is seeking a motivated and detail-oriented Imports Administration Assistant to join their team based in Five Dock.

This full-time role provides essential administrative support across Imports Administration and Debtor Reconciliation, offering an excellent opportunity to grow within a dynamic trading and import environment.

Reporting to the Imports & Debtors team, you will play a key role in ensuring accurate debtor processing and supporting import documentation and compliance. The position requires strong attention to detail, good time management, and a willingness to learn and develop across multiple departments.

This role is ideal for someone with strong administrative and debtor experience who enjoys working in a collaborative team environment.

Key Responsibilities

Debtors Administration

  • Monitor outstanding accounts and assist with follow-up on overdue payments
  • Maintain accurate debtor records in accounting systems (e.g. Tencia)
  • Assist with monthly statements and account reconciliations
  • Respond to basic customer account enquiries professionally

Imports Administration

  • Prepare and review import documentation (invoices, packing lists, bills of lading)
  • Liaise with customs brokers and freight forwarders under supervision
  • Track shipments and update internal systems with status changes
  • File and maintain import records for compliance purposes
  • Assist in resolving documentation discrepancies

General Administration

  • Data entry and document filing across debtors and imports
  • Support the Administration Services Supervisor and Operations team with ad hoc tasks
  • Provide backup support during staff absences
  • Maintain confidentiality and comply with company policies

Skills & Competencies

  • High attention to detail and accuracy
  • Strong written and verbal communication skills
  • Excellent time management and ability to meet deadlines
  • Proficiency in Microsoft Word, Outlook, and high-level Excel skills
  • Willingness to learn in-house systems
  • Team-oriented with the ability to follow direction

Qualifications & Experience

  • Previous office or administration experience, including AR/AP
  • Familiarity with accounting and/or logistics processes
  • Strong computer literacy and analytical mindset
  • Ability to work both independently and collaboratively

Desirable

  • Experience in supply chain or import operations
  • Strong organisational and problem-solving skills

  • Clear goals and KPIs reviewed regularly
  • Ongoing training in debtor management and import compliance
